How to invite users, manage roles, and control access to your organization.
User Management
TheUserspage is the central place for managing who has access to your organization. OnlyAdministratorscan invite new users, change roles, and revoke access.
Permission Levels
Every member of your organization is assigned one of two roles:
| Role | Description |
|---|---|
| Member | Can use all modules the organization has access to, but cannot manage users, invitations, or subscription settings. |
| Administrator | Has full access, includinguser management,subscriptions,secrets,billing address, and organization settings. |
You can change a member's role at any time — seeChanging a Member's Rolebelow.
Inviting a New User
- Go toSettings → Users.
- Click theAddbutton. The invite dialog opens.
- Select an identity provider— choose the system the invited person will use to sign in:
- Any— the user can sign in with any supported provider.
- Google— restricts the invite to a Google account.
- Microsoft Entra ID— restricts the invite to a Microsoft Entra ID (formerly Azure Active Directory) or personal Microsoft account. Optionally enter aTenant IDto further restrict the invite to a specific Entra tenant.
- Enter theusernameof the account to invite. In most cases this is the user's e-mail address, but it depends on the identity provider.
- Select theRolethe user should have:MemberorAdministrator.
- (Optional)ClickMore settingsto enter a separatenotification e-mail addressif you want the invite sent to a different address than the username.
- ClickInvite.
Once the invite is created, the application sends the invitation link to the user by e-mail. The invite is valid for14 days. After that time the link expires and you will need to send a new one.
Sharing the Invite Link Manually
After the invite is created, the dialog shows the invitation link directly. If the user did not receive the e-mail — or if the username is not a valid e-mail address — you can copy the link and send it through any other channel.
Handling Invitations
TheInvitestab on the Users page lists all invitations sent by your organization, along with their current status:
| Status | Meaning |
|---|---|
| Pending | The invite was sent but has not been accepted yet. |
| Accepted | The user clicked the link and joined the organization. |
| Expired | The 14-day validity window passed before the user accepted. |
| Revoked | An administrator manually cancelled the invite. |
Revoking a Pending Invite
If you need to withdraw an invitation before it is accepted:
- Go toSettings → Users → Invites.
- Find the invitation in the list.
- ClickRevokeand confirm.
The link immediately becomes invalid. If the person should still join, send a new invite.
Accepting an Invite (Invitee's Perspective)
When an invited user clicks the link, they are redirected to sign in with their identity provider. After signing in, the invite is automatically redeemed and they gain access to the organization with the role that was specified in the invitation.
Changing a Member's Role
- Go toSettings → Users.
- Find the member in the table and click theEdit(pencil) icon.
- Select the new role from the drop-down.
- ClickSave.
The change takes effect immediately.
Removing a Member's Access
- Go toSettings → Users.
- Find the member you want to remove and click theRemove(trash) icon on their row.
- Confirm the prompt.
The user is immediately removed from the organization and loses access to all its data and modules.
Member Slots
Your organization has a maximum number of members it can have at any given time. The default limit is10 members. The current usage is visible in theLimitssection of theSubscriptionsettings page.
